Chargé(e) de Logement du Personnel
The Personnel Housing Manager is responsible for the complete management of housing for employees: assignment in collaboration with the HR department, administrative follow-up, condition reports, and accompaniment of employees throughout their contract. They ensure to guarantee accommodation conditions in accordance with the establishment's standards, while ensuring respect of conventions and the good maintenance of the premises.
Main Missions:
- Welcome, accompaniment, and departure of employees
- Ensure the appointment for arrivals and departures.
- Welcome employees (presentation of the housing, condition report on entry, handing over of keys or cards, practical information).
- Manage departures (retrieval of keys, condition report on exit, verification of the conditions of return of the housing).
- Be the reference contact for any questions related to accommodation during the duration of the contract.
- Follow up and manage deposits.
- Assignment and management of housing
- Participate in the assignment of housing according to arrivals and personnel needs in relation with the HR department.
- Write housing agreements or reservation sheets.
- Ensure respect of the terms of the housing agreements.
- Be in direct contact with the housing guardians (CCAS or other partners).
- Be in direct contact with the condominium syndicates.
- Be in direct contact with our insurance partner (insurance certificates, declaration of damages…).
- Keep up to date the files of occupation and availability of housing.
- Entrances, exits, and inspections
- Carry out the condition reports on entry and exit with the rental management software (IMOPAD).
- Carry out inventories.
- Perform regular inspections to ensure hygiene, tidiness, and good maintenance of the housing.
- Report non-compliance and sensitize occupants to the rules of collective life.
- Be the mediator between the neighborhood and neighbors in case of dispute.
- Logistic and technical coordination
- Make the lists of maintenance and follow up with the technical service for repairs to be carried out.
- Organize the verification of the housing at the end of the season or inspections, with the Housekeeping service.
- Manage and distribute the housing kits (linen, material, welcome products).
- Transmit information with the accounting service for the billing of rents/charges.
- Encode magnetic cards and manage physical keys.
- Administrative follow-up
- Ensure the follow-up and archiving of documents related to housing (agreements, condition reports, reservation sheets).
- Update databases and follow-up tables.
- Participate in the continuous improvement of procedures related to the accommodation of personnel.
Profile and Expected Qualities:
- Bac +2/3 in management, hotel management, real estate, maintenance, or human resources.
- Desired experience in housing management, maintenance, or a similar position in the hotel-restaurant sector.
Required Skills:
- Knowledge of labor law.
- Sense of organization, rigor, and autonomy.
- Excellent interpersonal skills and sense of service.
- Mastery of office tools (Excel, Word, Outlook).
- Ability to manage unforeseen events and prioritize emergencies.
- Knowledge of basic maintenance and sense of hygiene.
- Diplomacy and respect for confidentiality.
- Notion of small maintenance.
Special Conditions:
- Flexible hours according to arrivals/departures or emergencies.
- Work on Saturday/Sunday.
- Driving license B required (travel between the different housing/sites).
- Occasional carrying of light loads (housing kits, small furniture, dishes…).
